Summary

  • This position assists in writing, editing, and coordinating proposals and other marketing materials to support business development efforts for the organization. It also responds to requests for proposals (RFPs) determined to be within the company’s scope and field of operations within extremely tight deadlines including writing narratives in response to the RFP, developing templates for proposals per RFP or RFQ instructions; and developing and maintaining databases of responses, boilerplates, resumes, and past performance information. Interfaces with functional or subject matter experts, facility administrators, corporate executives, and various departments to respond to questions and complete proposals in a timely manner. Assists in creating business development and marketing research materials.                                            


Primary Duties and Responsibilities

  • Documents, analyzes, summarizes, and disseminates key RFP requirements including but not limited to scope of work, outlines and timelines, pricing information and competitive specifications. Distributes to RFP team members as necessary.
  • Assists in managing or leading RFP meetings, articulating key requirements and timelines to proposal team members, and manages the proposal process from receipt of solicitation until the proposal is received by the agency, including submitting questions to agency, review of drafts, pricing meetings, and other tasks as needed.
  • Works with existing boilerplate and rough draft material from subject matter experts and converts into high-impact content for proposals.
  • Develops and writes proposals in response to formal written agency solicitations (RFPs, ITBs, RFIs, etc.) as well as verbal requests from agencies and the business development team.
  • Edits documents for grammar, style, and content. Monitors, supports, or attends all production phases of project to maintain consistency, provides overall quality control including completeness, color correction, formatting, accuracy, tabbing, binding, packaging, and compliance with proposal submission guidelines
  • Researches project background or other information. Conducts research on various project issues, including but not limited to proposed facility, neighborhood, project city, related community services available to future clients, and zoning ordinances and related requirements so that community approval and participation is assured.
  • Prints RFP and creates binders, separates contents with folders, and refers to the supervisor for review and submission to appropriate management.
  • Tracks and monitors federal, state, or municipal RFPs of interest to the company to ensure responses are timely and deadlines are met.
  • Coordinates the development of job descriptions, resumes, facility organization charts, and staff deployment plans with various departments to include Operations and Human Resources.
  • Assists in coordinating the development of staffing charts and narratives in conjunction with operations department.
  • Coordinates annual facility information surveys for boilerplate updates. Assists in maintenance and updating of boilerplate material, soliciting departmental input.
  • Assists in creation and updating of graphics and other content.
  • Assimilate materials into the final presentation to ensure a complete, professional package is submitted by the deadline. May be required to personally deliver finished products.
  • Maintains resource library and proposal archives.
  • Performs other duties as assigned.

 

Job Requirements



Minimum Requirements

  • Bachelor's degree in Social Service, Criminal Justice, Political Science, Business, Marketing, English, Journalism or related field. Work experience in a related field or position may be considered at the discretion of the Director of Development.
  • Two (2) years of professional experience. Proposal development or writing experience is preferred.  Marketing experience is also highly desirable.
  • Strong knowledge of Microsoft Office application. Knowledge of Photoshop and Visio desirable.
  • Excellent research skills. Must be proficient in Internet Explorer tools.
  • Ability to maintain confidential client information.
  • Excellent editing, organizational, analytical and interpersonal skills.
  • Excellent oral and written communication skills.
  • Innovative in solving problems and finding information.
  • Ability to work on short-term assignments with tight deadlines while managing multiple tasks and projects.
  • Ability to travel occasionally with some overnight stays.
  • Ability to work with computers and the necessary software typically used by the department.
