Summary

This position performs specialized and responsible clerical and technical tasks related to the maintenance of student records and files; as well as related duties required of the school and maintaining an automated student information system.

 

Primary Duties and Responsibilities.

  • Performs record keeping and general clerical functions (e.g. copying, faxing, mailings, etc.) for the purpose of providing information and/or materials as needed.
  • Prepares and maintains incoming student files with all intake paperwork, treatment paperwork and academic records.
  • Schedules and coordinates transition of new students to the program.
  • Performs word processing and editing tasks including correspondence, meeting minutes, revisions, developments, and distributions of program policies and procedures, mass mailings and special events.
  • Mails all administrative and school reports in a timely manner.
  • Acts as primary contact for incoming calls by answering the phone, greet on-site visitors at the facility, and perform other receptionist duties as needed.
  • Monitors office, maintenance and medical supplies to ensure adequate supplies are on hand when needed.
  • Prepares and submits approved monthly student attendance report to ensure accurate and timely payment.
  • Distributes incoming mail (open, date stamp and route appropriately) and prepare outgoing mail.
  • Develops and maintain system of data storage and retrieval for both electronic and traditional files.
  • Maintains expense tracking system and adjust program expenses to meet budget requirements under the direction of the Principal.
  • Assists with the organization and monitoring of daily schedules, maintain itineraries, schedule appointments, and luncheons/activities. Maintain school calendar of activities, events, appointments, conferences and meetings.
  • Participates in staff meetings and record, type and distribute minutes accordingly.
  • Maintains accounts payable billing, petty cash, payroll, purchasing, and office equipment.
  • Coordinates, compiles, and facts checking Individualized Educational Plans (I.E.P) for each special education student through District 203 coordinator, special education teachers, and counselors.
  • Inputs attendance, grades, and course enrollment data into the Illinois State Board of Education (ISBE) data collection website for each student enrolled at the Bridge.
  • Have a working knowledge of the Personnel Policies and Operations Manual, so that correct records are maintained at the facility and/or submitted to Administration to comply with ISBE requirements.
  • Coordinates student team meetings for I.E.P review including invitation, room set up and guest list for student, parent, special education teachers and District 203 Special Education Coordinator.
  • Coordinates student bus transportation.
  • Coordinates and communicate with District 203 regarding yearly school calendar and changes that may result due to inclement weather.
  • Prepares and submits weekly reports to District 203 Coordinator for grades, attendance and behavioral information.
  • Acts as liaison with District 203 to prepare data for yearly reports to the District 203 Board of Education.
  • Coordinates and administration of daily student medications in collaboration with District 203 nursing staff.
  • Facilitates SAT and PSAT state examinations in collaboration with District 203 Administration Office.
  • Coordinates quarterly Alternative Learning Opportunities Program (ALOP) meetings with District Coordinator, teachers, parents, and students.
  • Complies with Abraxas policies and work rules as described in the company Employee Handbook, Seven Key Principles of care, the Facility Policies and Procedure Manual
  • Supports the Abraxas philosophy and mission and promotes the Seven Key Principles of care.

 

Job Requirements

Minimum Requirements

  • The following educational requirements are acceptable for this classification including:
  • High school diploma or GED and minimum three years office management related experience (preferably in a school setting)
  • Bachelor’s degree in accounting or a related field and minimum one year related experience.

Other Qualifications:

  • At least twenty-one (21) years of age.
  • Criminal clearances (specific State & child clearances and, if necessary, FBI).
  • Non-communicable diseases physical exam.
  • Valid driver's license from employee’s state of residence.
  • Valid registered vehicle insurance.
  • Ability to work with computers and the necessary software typically used by the department
