Compensation Base: $24.60-$27.00 per hour

Summary

Provides administrative support for the senior management staff of the Intensive Supervision Appearance Program (ISAP).  Acts as the primary contact for ISAP administration to ensure consistent, high-level support for the needs in the field and provides financial support for the program.   

 



Primary Duties and Responsibilities

  • Provides administrative support for ISAP senior management. Performs routine clerical tasks, maintains files, schedules meetings, answers phones, screens and directs calls, takes messages, directs incoming mail to appropriated managers.  Coordinates catering for internal and external meetings.
  • Coordinates and tickets air travel using on-line booking tool. Resolves travel issues. 
  • Schedules and coordinates ISAP meetings, as assigned by the Vice President and Director.
  • Collaborates in the planning and coordination for ISAP activities, such as trainings, conferences and customer events.
  • Provides administrative support for ISAP, such as ordering supplies, setting up conference calls, sending mass mailings, and maintenance of lobbyist expenditure or other reports as needed.
  • Supports ISAP Finance with reports to include billing adjustments, daily count reports, telecom bills, regions, etc.
  • Coordinates customer visits to corporate headquarters arranging the agenda and hosting customers as necessary.
  • Researches, compiles and summarizes information to prepare first drafts of reports, budget requests, meeting materials and various projects as needed.
  • Works closely with Customer Business Services Department to ensure accurate and timely equipment entry.
  • Assists with marketing, promotions and trade shows as needed.
  • Performs other duties as assigned.

 

Job Requirements



Minimum Requirements

  • High School Diploma or GED required.
  • Associates Degree preferred.
  • At least five (5) years of experience providing administrative support to high-level management.
  • Ability to pass a federal background check and obtain a suitability determination.
  • United States citizenship required.
  • Must live in the United States 3 of the last 5 years (military and study abroad included)
  • Valid State Driver’s License and the ability to safely operate a motor vehicle preferred.
  • Excellent written and verbal communication skills.
  • Expert knowledge of MS Excel software, including Vlookups and pivot tables.
  • Attention to detail.
  • Excellent organizational skills.
  • Ability to work well under pressure and to meet deadlines.
  • Ability to handle multiple projects simultaneously and prioritize appropriately.
  • Ability to maintain confidentiality.
  • Quick learner.
  • Capability to understand Company products and services.
  • Ability to function well within a multi-disciplinary environment.
  • Ability to work independently without close supervision.
  • Ability to work with computers and the necessary software typically used by the department.
