The Administrative Assistant position performs administrative, clerical, and technical functions of the program/facility.

Essential Functions:

  • Provide reception as needed; greet and announce clients and visitors to appropriate staff member(s), operate telephone systems, route incoming calls, record, and distribute messages in an accurate, timely, and professional manner.
  • Assist in clerical process on all employee files, creating and maintaining employee files (Personnel, Confidential, Medical, and Workers’ Compensation).
  • Coordinate and track facility initiatives.
  • Compose routine letters, meeting minutes, correspondence, memos, reports, and other confidential information to assist appropriate supervisory and administrative staff member(s).
  • Assist with office supply ordering, distribution, and filing, and manage incoming and outgoing mail.
  • Contact appropriate individuals for repair and maintenance of office equipment.
  • Provide backup support for payroll and time keeping functions.
  • Supports the Abraxas philosophy and mission and promotes the Seven Key Principles of care.
  • Demonstrates appropriate use of Safe Crisis Management techniques and skills.

Job Requirements

Minimum Requirements: 

The following educational requirements are acceptable for this classification including:

  • High school diploma or GED and minimum two (2) years office related experience; OR
  • Business school diploma and minimum six (6) months office related experience.

Other Qualifications:

  • Criminal clearances (Act 33 and 34, specific State & child clearances and, if necessary, FBI).
  • Non-communicable diseases physical exam.
  • Valid driver's license from employee’s state of residence.
  • Valid registered vehicle insurance.
  • At least twenty-one (21) years of age.
  • Ability to work with computers and the necessary software typically used by the department.
