Administrative Specialist...
This position performs accounting, administrative, and clerical activities for the facility.
What you'll be responsible for...
- Supports preparation and monitoring of, and adherence to, program/facility budgets.
- Coordinates biweekly payroll processing.
- Processes facility accounts payable and serves as contact with vendors
- Maintains accounts payables log and reviews general ledger to ensure accurate and timely payments.
- Distributes and reconciles petty cash in coordination with other administrative staff.
- Supports billing and payments for contracts rendering services.
- Orders supplies for the facility and supports/tracks inventories
- Supports month end financial close process to include routine general ledger accruals.
- Enters and tracks purchase order through accounting platform.
- Supports grant funding and track related spending.
- Support preparation of administrative and financial reports to distribute to facility and corporate management.
- Communicates effectively with internal and external sources across all areas of the facility operations.
- Works with various facility departments to ensure effective operations
- Reviews purchasing card spending and upload receipts.
- Performs word processing and editing tasks including correspondence, meeting minutes, revisions, developments, and distributions of program policies and procedures, mass mailings and special events.
- Assists in arranging and coordinating visits, tours, speaking engagements, seminars, conferences, workshops, and special events.
- Assists with the organization and monitoring of daily schedules, maintain itineraries, makes travel arrangements, schedule appointments, and luncheons/activities.
- Develops and maintains client filing system. Respond to all requests for records.
- Maintains site-level linkage agreements, updating as necessary.
- Processes UA specimens for testing and distribution of results to departments.
